About our AGM

When and Where
Typically, the Friends of Wellers Bay Annual General Meeting occurs in late summer / early autumn and is hosted in Consecon or Barcovan (we try to alternate the meeting from North to South end each year). If able, we work to include members who are unable to be present in person. Like many during COVID-19 restrictions, the AGMs were held by Zoom, but we've also hosted hybrid meetings an broadcast in-person meetings live on social media.
"The annual meeting shall be held on a day and at a place within Ontario fixed by the Board and at a date no later that 15 months after holding the last preceding annual meeting, but no later than six (6) months after the end of the preceding financial year... The Directors can decide that a meeting of the Corporation can be held entirely by means of a telephonic, electronic or other communication medium that will allow all participants to communicate adequately with each other during the meeting. "
What
The business transacted at the AGM shall include:
No other item of business shall be included on the agenda for annual meeting unless a Member’s proposal has been given to the secretary prior to the giving of notice of the annual meeting in accordance with the Act, so that such item of new business can be included in the notice of annual meeting.
Any Member, upon written request (not less than 21 days or other number of days prescribed in regulations before the annual meeting), shall be provided with a copy of the approved financial statements, auditor’s report or review engagement report and other financial information.

What

- Member registration and certification of quorum;
- receipt of the agenda;
- receipt of the minutes of the previous annual (and subsequent special meetings, if applicable);
- information reports from Chair, Chairs of Committees, and/or Directors;
- consideration of the financial statements (treasurer report);
- report of the auditor or person who has been appointed to conduct a review engagement;
- appointment of the auditor or a person to conduct a review engagement for the coming year;
- election of Directors to the Board; and
- such other or special business as may be set out in the notice of meeting.
